What is PowerPCS?
PowerPCS is position control software — a tool for HR and finance teams to track authorized positions, the employees who fill them (incumbents), FTE allocations, and salary budgets in one place. It's not a full HR system or a payroll platform. It's the position register that sits above whatever HRIS and payroll system you already have.
How is this different from my current HRIS?
Most HRIS platforms track employees. PowerPCS tracks positions — and then tracks which employees are assigned to those positions, at what FTE, and for what period.
The key difference: in a traditional HRIS, when someone leaves, their employee record is terminated and the headcount count drops. In PowerPCS, when someone leaves, the position they held becomes vacant — but the position stays, with its budget and authorization intact, waiting to be filled.
This distinction — positions existing independently of the people who fill them — is the basis of accurate headcount control and budget-to-actual analysis.
Does PowerPCS replace our HRIS or payroll system?
No. PowerPCS is designed to sit alongside whatever systems you already have. Your HRIS handles employee records, benefits, and payroll. PowerPCS handles the authorized position structure, FTE tracking, and budget analysis that most HRIS systems were never designed to provide. You import position and incumbent data via CSV — no live integration required.
Who built PowerPCS?
PowerPCS is built by Infisoft, a software company with roots going back to 1996. The original PowerPCS was built as a position control add-on for Sage Abra Suite, one of the dominant HR/payroll systems of the 1990s through 2020. The current version is a ground-up rebuild as a modern web-based SaaS product, drawing on nearly 30 years of experience with position control in HR environments.
Is there a limit on how many positions I can manage?
Yes. PowerPCS is designed for organizations with up to 3,000 authorized positions. This is a permanent ceiling, not a roadmap item. If your organization manages more than 3,000 positions, PowerPCS isn't the right tool — you'll need an enterprise-grade system.
Setup & Getting Started
How long does setup take?
Most organizations are fully operational within a day. The process is: sign up, import your positions from a CSV, import incumbents, configure your org levels, and start reporting. There's no implementation project, no consultant, no go-live plan. The application walks you through each step.
What do I need to get started?
At minimum: a list of your authorized positions. This can be exported from your HRIS, pulled from an existing spreadsheet, or built from scratch. You'll need, for each position:
- Position title
- Authorized FTE
- Organizational placement (department, division, etc.)
- Budgeted salary (optional but useful for budget analysis)
Incumbent data (who fills each position) can be added at the same time or later.
Can I import data from a spreadsheet?
Yes. PowerPCS includes a CSV import tool with a column-mapping wizard that handles nonstandard column names. You don't need to reformat your spreadsheet to a specific template — the import tool adapts to your existing layout. Positions and incumbents can each be imported separately.
Do you offer onboarding help?
The product is self-serve by design. In-app guidance walks through setup, and the application has help text throughout. If you hit a question that isn't answered in-app, email support is available with a 24–48 hour response window. There are no onboarding calls, implementation services, or consulting packages — this keeps costs down for everyone.
Positions & Incumbents
What's the difference between a position and an incumbent?
A position is an authorized slot in your organizational structure — a job that has been approved to exist, with a specific title, FTE value, and budget. A incumbent is the person assigned to fill that position. A position can be vacant (no incumbent), filled (one or more incumbents whose FTE totals the authorized amount), or overfilled (incumbents whose combined FTE exceeds the authorized amount).
Can one employee be in multiple positions?
Yes. A single employee can be assigned to multiple positions simultaneously — for example, a half-time teacher and a half-time curriculum coordinator, each as a separate 0.5 FTE assignment in two separate positions. Both assignments are tracked independently, each with their own history.
Can one position have multiple incumbents?
Yes. A position can have multiple incumbents, as long as their combined FTE doesn't exceed the authorized amount. For example, a 1.0 FTE position could be filled by two half-time employees, each at 0.5 FTE. If combined FTE exceeds the authorized amount, the position is flagged as overfilled.
What happens to a position's history when an incumbent leaves?
The incumbent record is given an end date — it is never deleted. The position goes from Filled to Vacant, and the former incumbent's assignment remains visible in the position's history with their full FTE, dates, and compensation data. Nothing is erased.
How does FTE work in PowerPCS?
Each position has a budgeted FTE value (the authorized amount, set at position creation). Each incumbent assignment also has an FTE value (the portion of a full-time schedule that employee fills). PowerPCS compares these automatically: if incumbent FTE totals equal the budgeted FTE, the position is Filled. If lower, it's Vacant or Partially Filled. If higher, it's Overfilled.
Reporting & Data
What reports does PowerPCS generate?
You can build custom reports using any combination of position and incumbent fields, filtered by org level, position status, FTE range, or any other attribute. Common reports include: vacant positions by department, budgeted vs. actual FTE by division, overfilled positions, and full incumbent history for any date range. Export to CSV anytime.
Can I export my data?
Yes. Position data and incumbent data can each be exported to CSV at any time from the data export page. This is available in all plans, including during a free trial, and even after cancellation for a limited period. Your data belongs to you.
Does PowerPCS integrate with our HRIS or payroll system?
Not directly. PowerPCS uses CSV import and export rather than live API integrations. This keeps the product simpler and more reliable — you control when data flows in and out, rather than depending on a live sync that can break when the other system changes. For most organizations, a periodic CSV import (weekly or monthly) is sufficient.
Is there an audit log?
Yes. Every change to a position or incumbent record is logged permanently with the before and after values, the user who made the change, and a timestamp. Change history is available on every record and is never deleted or expired.
Pricing & Billing
How is pricing structured?
Flat monthly price based on the number of authorized positions you track. There are no per-user fees, no feature add-ons, and no usage charges beyond position count. All features are included in every plan. See the

What counts as a "position" for pricing?
Each authorized position record in PowerPCS counts toward your plan limit — whether it's filled, vacant, or overfilled. Incumbent records (the people assigned to positions) are unlimited and do not count toward the limit.
How many users can log in under one plan?
Unlimited. There are no per-seat or per-user fees. Your entire HR team, Finance team, and any department managers who need access can all be included in the same plan at no additional cost.
Is there a free trial?
Yes — 14 days, no credit card required. You can import your positions, assign incumbents, configure your org levels, and run reports during the trial. At the end of 14 days, you can subscribe or let the account expire.
What happens if I approach my position limit?
You'll see an in-app notification to upgrade your plan. You can continue adding positions past your limit — we don't hard-block you mid-workflow. The upgrade nudge is informational. When you're ready, upgrade from the billing page in under a minute.
Can I cancel at any time?
Yes. Cancel anytime from your account settings — no cancellation fee, no retention call, no exit survey you're forced to complete. Export your data first (single click), and you're done. If you cancel mid-cycle, your account stays active through the end of the paid period.
How does billing work?
Monthly subscription billed through Stripe, a leading payment processor. Your card is charged on the same date each month. You can update your payment method, upgrade, downgrade, or cancel from the billing section of your account settings at any time.
Security & Data
Is my data kept separate from other organizations?
Yes. PowerPCS uses a multi-tenant architecture with team-based data isolation. Your organization's data is logically separated from all other customers' data at the database level. One organization cannot see or access another's records.
Who can see our position and incumbent data?
Only users on your team who you have invited and who have logged in with credentials you control. Infisoft staff can access data only when required for support purposes, and only with your knowledge.
Where is data stored?
PowerPCS is hosted on DigitalOcean infrastructure in the United States. Data is not transferred internationally.
